Guide for Using Digital Stationery®
in Microsoft Outlook 2016

Overview: Outlook 2016 does not directly support stationery, so the steps below explain how to set up your stationery as one or more "signatures." When you do this you have two options: 1) you can have your stationery appear automatically every time you compose a new message or when you reply to or forward a message you receive or 2) you can manually select your stationery when you want to use it.

To Set Up Your Stationery in Outlook 2016. (You will do these steps only once.)

Step 1. Copy Your Stationery to Your Clipboard

  1. Open Windows Explorer and go to the folder labeled "My Digital Stationery" in your "Documents" folder.
  2. Double-click on the stationery template that you want to use for your messages - either the informal (first name) or formal (full name) version.
  3. When the stationery appears in your browser, type <Ctrl>-A to select all and then <Ctrl>-C to copy it to your clipboard.

Step 2. Paste Your Stationery into a New Outlook 2016 Signature

  1. Open Outlook.
  2. Click on the "File" menu and then click "Options."
  3. On the popup window, click on "Mail."
  4. Click the "Signatures and Fonts" button
  5. Click "New" button to create a new signature and give the signature a name, like "Informal Stationery."
  6. Click into the signature composition area and type <Ctrl>-V to paste in your stationery and then save it.
  7. If you want to have your stationery appear automatically, in the same window select it in the dropdown list for "New messages" and for "Replies/fowards."

You now have stored your stationery as an Outlook "Signature." You will not have to do steps #1 and #2 again; they were a one-time set-up requirement.


To Use Your Stationery in Outlook 2016.

Now that you have put your stationery into the signature area, if you followed the last step above it will automatically appear when you create a new message or reply to or forward a message you receive. Simply place your cursor at the greeting line of your stationery and type your message.

If you plan to use your stationery only on selected messages, when you compose a new message or click reply simply click the "Signature" button and select the signature (stationery) that you want to use. This will insert your stationery into that message.

Note also that since signatures are normally placed at the bottom of a message, Outlook places two blank lines above the top border of your stationery. If you want your stationery to be flush with the top of the message area, you can highlight and delete these two lines.
