Guide for Using Digital Stationery® in Microsoft Outlook for Office 365 (including Outlook.com and Hotmail.com)
Please note: There are two ways to use your stationery: 1) have Outlook automatically display
it for every new message, reply and forward or 2) manually request it just for specific messages.
The first two sets of instructions below describe the automatic method which we recommend because it's easier and it gives you more
value for your stationery investment. The third and fourth sets of instructions describe how to manually request your stationery
for specific messages. (Note that even if you choose the automatic option it is still easy to delete your stationery from those
messages in which you don't want to use it. You can also set it up to appear automatically for new messages and still manually select
it for replies and forwards by following instructions 1 and 4.) |
To Set Up Your Stationery To Appear Automatically. (You will do these steps only once.)
1. To automatically use your stationery for all new messages
- First copy your template file(s) to this location: C:\users\[Your Username]\AppData\Roaming\Microsoft\Stationery
- On the "File" tab, click "Options".
- Click "Mail" and then "Stationery and Fonts".
- On the "Personal Stationery" tab, click "Theme".
- Click on the stationery template file that you want to use.
- Click the "OK" button to close all three open windows.
Now when you click on the "New E-mail" button, your stationery will automatically appear.
2. To automatically use your stationery for all replies and forwards
The "trick" here is to insert your stationery into what Outlook calls a "signature."
You can then tell Outlook to use that "signature" for all replies and forwards and
it will automatically insert your stationery.
- Open Windows Explorer and navigate to your "My Digital Stationery" folder.
- Double-click on the stationery template file that you want to use. This will open your stationery and display it in your web browser
- Click your cursor over a blank area of your stationery and type <Ctrl>-A and then <Ctrl>-A.
(This selects all of your stationery and copies it to your clipboard.)
- Now return to Outlook and on the "File" tab, click "Options".
- Click "Mail" on left and "Signatures" button on right.
- Click "New" and give it a name, like "My Stationery"
- Click your cursor in the typing area under "Edit signature" and type <Ctrl>-V.
(This will paste your stationery into the composition area and you should see it there.)
- In the upper right of the window, click the drop-down arrow next to "Replies and forwards"
and select the new signature you have just created.
(Leave the field next to "New messages" as "(none)".)
- Click "OK" to close both open windows.
To Manually Request Your Stationery for Specific Messages. (You will follow these steps each time you use your stationery.)
3. To manually insert your stationery in a new message (2 clicks)
- On the "Home" tab, click "New Items" (not "New E-mail")
- Move your cursor over "New E-mail Using" and select "More stationery"
- Select the stationery template you want to use and click "OK"
(After the first time when you return to "New E-mail Using" your stationery will be in the menu
and you will not have to click "More stationery" and find it again.)
4. To manually insert your stationery in a reply or forward (4 clicks)
- Open the message and click Reply, Reply All, or Forward.
- Click on "Attach File" in the tool bar
- Navigate to your "My Digital Stationery" folder and select your stationery
- On the "Insert" button, click on the down arrow and select "Insert as Text."
(Important: Do *not* just click the Insert button since that will
insert your stationery as an attachment, not in the message.)
